Who we are
Staffly is a brand of VNCNT Labs, which is part of FAMVII LLC, an Ohio limited liability company ("we", "us", "our"). FAMVII LLC is responsible for the information described here. You can reach us at hello@hirestaffly.com. Our full mailing address is in every email we send, and we'll give it to anyone who asks.
This policy covers hirestaffly.com, our free store audit, the emails we send, our @getstaffly account on X, and the paid Staffly service.
What we collect
- Audit requests. When you use the audit form we get your store link, platform, monthly revenue range, biggest time sink, any notes you add, your first name if you give it, and your email address. We also record the time of the request and the country your request came from, which our host works out from your IP address. We don't save the IP address itself with your request.
- Emails and messages you send us. Your email address, name and whatever you write.
- Public shop information. To prepare audits and decide which shops to contact, we look at public pages: storefronts, listings, prices, shop announcements and policies, public reviews (which can include a reviewer's first name and what they wrote), public social media posts, and business contact details a shop has published. We read these pages ourselves or with tools that collect public web pages and search results. For audits and outreach, we read Etsy pages by hand rather than with automated tools. We don't log in to any shop to do this.
- Customer store data. If you become a customer, each staff member you hire can see the store data it needs for its role, such as listings, orders, reviews, customer messages and sales figures, through access you grant us or files you send us. On Etsy that's the files and emails you send us, unless you've chosen in writing to give us access to your shop. This can include personal information about your own customers, such as names and order details. See "Your customers' information" below.
- Billing information. Polar Software, Inc. ("Polar") sells our plans as merchant of record. Polar and its payment processor collect your card and billing details under Polar's privacy policy. We never see or store your full card number. Polar shares with us your name, email, billing country, what you bought and the status of your subscription.
- Technical data. Our website host, Cloudflare, processes your IP address, browser type and the pages you request so it can deliver the site and protect it from attacks. It keeps short-lived logs for that purpose.
Please don't put sensitive information, such as passwords, card numbers or health details, in the audit form or in emails to us.
How we use it
- To prepare and send your free audit, and to follow up about it once.
- To find shops that might benefit from Staffly and send them a short, relevant email (see the next section).
- To provide the staff you sign up for, support you, and manage your subscription with Polar.
- To keep the site and service secure, prevent abuse, and meet legal and tax obligations.
We don't sell personal information, and we don't share it for cross-site or targeted advertising. We don't use your store data or your customers' data to market to anyone.
If you are in the European Economic Area or the UK, our legal reasons for using your information are: to take steps you asked for or to perform our contract with you (audits and the service), our legitimate interest in running and promoting a small business in a way you would reasonably expect (business outreach, security), and legal obligations (tax records). You can object to any use based on legitimate interest by emailing us.
Emails we send to shops
We sometimes email a shop at a business address it has published, with a short note about Staffly and an offer of a free audit. We may send one follow-up about a week later. Every email we send says who we are, comes from hello@hirestaffly.com, has an honest subject line, and includes our mailing address and an easy way to opt out.
To stop hearing from us, reply "no thanks" or "unsubscribe", or email hello@hirestaffly.com. We stop as soon as we can, and always within 10 business days. We keep the email address on a short "do not contact" list so we don't write again by mistake. We use that list for nothing else.
Audits and public shop information
Our audits are built only from public information, and we label anything we couldn't confirm ourselves. An audit we prepare for a shop is sent privately to that shop. We don't publish an audit of anyone else's shop without the owner's written permission. The sample audit on our site is an audit of one of our own shops, built the same way, from public information only.
If we've written something about your shop that is wrong, or you want us to delete the information we hold about it, email hello@hirestaffly.com with the subject "Correction" or "Removal". We'll reply within a few business days and fix or delete it.
How we use AI
Staffly uses AI models from outside providers to help read public pages, draft audits, and draft listing copy, review replies, social posts and summaries. We send those providers only what a task needs. Every finding in an audit lists its source, and anything your customers can see is published only after you approve it. We don't use AI to make or change product photos, and on Etsy you approve each listing before it's posted.
Who we share it with
We share information only with service providers that help us run Staffly, and only so they can provide their service to us:
- Cloudflare, for website hosting, security, the audit form and cookie-free visit counts.
- IONOS, which hosts our hirestaffly.com email, and Google, where we read and store our business email and files.
- Polar and its payment processor, for checkout, billing, receipts and sales tax.
- AI model providers, as described above.
- A password manager, to keep any store access you give us secure.
We may also share information if the law requires it, to protect our rights or someone's safety, or as part of a sale or reorganization of our business, in which case this policy would still apply to it. Our providers are mostly in the United States, so your information is processed there.
Your customers' information. When our staff handle data about your customers, we do it only to provide the service to you and on your instructions. We don't sell it, keep it for ourselves, or combine it with other data. You remain responsible for telling your customers how you use their information, for example in your shop's own privacy policy.
Cookies and analytics
Our site doesn't use advertising trackers or analytics cookies. To count visits, we use Cloudflare Web Analytics. It's a small script that records which pages are viewed, the referring site, the browser and device type, the rough country and how fast pages load. It doesn't set cookies, doesn't use local storage, doesn't fingerprint your device and doesn't follow you across other sites. We see only totals, never a profile of you.
Cloudflare may also set a strictly necessary security cookie to tell people apart from bots. Checkout pages run by Polar set their own cookies under Polar's policy. We don't sell or share data for advertising, and we treat a Global Privacy Control signal from your browser as a request to opt out of any such use.
When you interact with @getstaffly on X, X's own privacy policy applies, and we see only what X shows account holders.
How long we keep it
- Audit requests and the audits we prepare: up to 12 months, unless you become a customer or ask us to delete them sooner.
- Records about shops we've emailed: up to 12 months after our last contact. The "do not contact" list is kept for as long as we send email, so we can honor it.
- Customer store data: while you're a customer. Within 30 days after your subscription ends we delete it, or return it if you ask, except records we must keep for tax, accounting or legal reasons.
- Billing records: as long as tax law requires. Polar keeps its own records under its policy.
Security
We use encrypted connections, keep access to our systems limited to the people who need it, store logins in a password manager, and use the official access methods your platforms provide, or a separate team member login, instead of your personal password wherever we can. If you choose to share an Etsy login with us, we use it only for the tasks you approve. No system is perfectly secure. If a breach affects your information, we'll tell you as the law requires.
Your rights and choices
You can ask us to tell you what information we have about you, give you a copy, correct it, delete it, or stop using it for outreach. Depending on where you live, for example California or another U.S. state with a privacy law, the EEA or the UK, the law may give you these rights and others, such as the right to object to or restrict some uses. We honor these requests for everyone, wherever they live.
Email hello@hirestaffly.com to make a request. We may ask you to confirm it's really you, and we'll answer within 30 days. We won't treat you differently for using your rights. If you're in the EEA or UK, you can also complain to your local data protection authority.
Customers can remove our access to their store at any time from their store settings.
Children
Staffly is a service for businesses. It isn't meant for anyone under 18, and we don't knowingly collect information from children. If you think a child has sent us information, tell us and we'll delete it.
Changes to this policy
If we change this policy we'll update the date at the top. If a change is important, we'll email customers before it takes effect.
